Create groups

Setting up

Once the users list is complete, the administrators can manage the access rights for all the users of the organisation. For each scope (set of sites) and level of rights (role), a group can be created by an administrator or a delegate:

  • On the vertical menu, click on the third icon to open the list of groups
  • On the top of the list of groups, click on the button “Create a group” 
  • Enter a Group Name
  • And select a Role 
  • Click on the button “Next”

  • Select one or several sites (level1 and/or level2)
  • Click on the button “Next”

Note:

  • The search bar on site and level 2 helps you to easily find a site by its name.
  • The option “All Current and Future Sites” can be used to give access to all the sites (current AND future) of the organisation without having to edit the group in the future.
  • The option “All Sites” can be used to give access to all current sites (but not future sites) of the organisation without having to select each site, one by one.
  • To select level 2 sites, click twice on level 1 site checkbox (until it becomes black) and then only keep the level 2 sites you want to select checked

  • Select one or several users
  • Click on the button “Save”

Note:

  • The search bar on user helps to easily find a user by his email address.
  • The option “All Current And Future Users” can be used to give access to all users (current AND future) of the organisation without having to edit the group in the future. It is mainly helpful to create basic access rights for all users. If such a group exists, newly created users inherit the access rights defined in this group, by default.
  • The option “All Users” can be used to give access to all existing users (but not future users) of the organisation without having to select each user, one by one.
  • To delete a user from the selected users, either uncheck the corresponding checkbox or click on the corresponding rectangle.

 

Example 

The group called “MY FIRST GROUP” gives the role “ANALYST” on two sites:

  • Only one Level 2 site of Site 1 (called Level 2 – eeee)
  • Site 2 (including all Levels 2)

The group called “MY FIRST GROUP” gives the role “ANALYST” to four users.

Note:

  • Click on the rectangle “SITES” or “USERS” to switch from one tab to another.
  • Click on any user or site to display their information page.
  • Create as many groups as needed. A user can be part of several groups and thus inherit different roles on different sites.
